How it works
AP automation tools replace email inboxes and spreadsheets with a pipeline: capture invoices from email or PDFs, extract and code the line items, match them to purchase orders, route them for approval, pay by ACH, card or check, and sync every step back to the accounting system. The sync is what keeps the ledger accurate, and it is often the hardest part to build across many ledgers.
Example
A bill arrives as a PDF. The AP tool extracts vendor and amounts, codes it to the right account, gets a manager's approval in Slack, pays it by ACH on the due date, and records the bill and payment in the customer's Xero file.
In integrations
The AP automation solution on Unify Int pulls vendors, bills and accounts from QuickBooks, Xero, NetSuite and other ledgers, then writes bills and payments back with idempotency keys and validation. Write status is shown per platform and only where write-back is confirmed. Buyers expect AP tools to support the ledger they already run. Missing a common ledger such as NetSuite or Sage Intacct is a frequent reason AP products lose mid-market deals.
